Event Planning GuildlinesTo market and advertise chapter events, chapter leadership should work closely with the Office of Alumni Relations. Chapters should share the following information with the Office of Alumni Relations at least 10 weeks prior to event:
- Event Name
- Date/Time
- Type of Event/brief description
- Speakers
- Locations
- Price
- Registration Process and RSVP Date
Once this information is provided, a marketing plan for the event can be created using E mail, mailed invitation, Canisius On-Line, Canisius College Alumni Web site, and Canisius Magazine.
Important Deadlines:
To ensure publication in Canisius On-Line and the Canisius Magazine please submit copy by annual schedule of deadlines. You will be notified of these deadlines annually.
Level I Chapters:
3 major events
2 casual activities
Level II Chapters:
2 major events
2 casual activities
Level III Chapters:
1 major event
2 casual activities
Event Planning Timeline:
Each committee is advised to determine tentative dates for its annual activities at the organizational meeting. This allows for sufficient planning time and plenty of time to publicize to chapter alumni.
Within one week after planning meeting
- Submit tentative calendar of events to Office of Alumni Relations (OAR)
4 or more months before event
- Assign volunteers to work on event
- Solidify details
- Submit special requests to OAR (faculty/staff/alumni)
- Submit any details to OAR to ensure publication in the Canisius College Magazine
3 months before event
- Submit event details (special needs, program, cost, etc) to OAR
- Submit request for material to OAR
12 weeks before event
- Submit final details to OAR
- Submit invitation text to OAR
- Post final event details on web site
1 month before event
- Assign committee members to call alumni, begin calling
- Assign committee members to set up room and work registration table
2 weeks before the event
- Wrap up all details, prepare materials for event
